1) Standard Onboarding
Required for all HATCH ventures
Team Contact Sheet
Complete this file with all team members’ information. Include all employees – full time, part time and co-op.
- Full name
- Student ID (if applicable)
- Phone number
- Email address
- Role (e.g. Engineer, Marketing, Administrative)
- Check completion of UBC training for each employee
Mandatory UBC Training
All HATCH employees must complete the following UBC training courses. Email a copy of course transcript with you document package
- New Worker Safety Orientation
- Preventing and Addressing Workplace Bullying and Harassment
- Preventing and responding to Sexual Misconduct
- Workplace Violence Prevention Training
- Privacy & Information Security Fundamentals – Part 1
- Privacy & Information Security Fundamentals – Part 1
NOTE: A Campus Wide Login (CWL) account is required to login to take these trainings. If you do not have an existing UBC ID
number or CWL account, a temporary UBC guest CWL account can be signed up at https://activate.id.ubc.ca/iamweb/
2) Additional Onboarding Requirements
If you are working on campus or at ICICS
Corporate Liability Insurance
Your venture must have $5 million corporate liability insurance with UBC named as “Other Insured.”
- Review the HATCH Insurance Information Sheet
- Save as a PDF with filename: Your Venture Name Corporate Liability Expiry Date (DD/MM/YYYY)
WCB Clearance Letter
All teams must have a WCB number and prove registration and good standing with WorkSafeBC.
- Review the Sample WCB Clearance Letter
- Include WCB Account Number(6 or 9 digits)
- Include expiry date (DD/MM/YYYY)

3) If You Have Been Assigned Office Space
Only required for ventures with assigned office space at HATCH
Shared Space Use Agreement
We will provide this form once your team has been assigned office space. Return signed as a PDF.

4) If You Need Makerspace Access
Only required for ventures requesting access to the HATCH Makerspace

Fill out this form in as much detail as possible to request access to the HATCH Makerspace equipment and facilities.
